I’m sure if you tried you can visualize all the distractions over the past week or two. There are many management tools for controlling and supporting time management. If you schedule appointments using software, don’t over commit yourself to back to back meetings. Add a cushion between meetings to absorb information from the last meeting. Certain days in the week should be off limits from meetings to direct traffic, delicate tasks, accomplish goals. A good example is Friday morning, this day and time could be reserved for last minute meetings. Friday afternoon could be reserved for planning for next week.

3. Control your meetings

A 60 minute meeting doesn’t have to last 60 minutes. If all information and feedback have been presented there isn’t a need to recap the whole meeting and introduce new topics. If you 20 minutes left the meeting is over and any new topics can wait until the next meeting. Only invite those people who impact the situation, meaning don’t invite a high level manager to a meeting that’s still on the ground level unless it absolutely necessary. Get the requirements first before inviting everyone. Each item should have a time slot for discussion, and even if it’s not completed, it can be discussed later.

4. Take advantage and capture your energy

Learn to make the most of your energy by harnessing your natural rhythms. Have you ever noticed that you are more energetic during the morning hours, or that you are most creative late at night? Well, whenever possible, try to take advantage of these natural energy cycles. If you have more energy in the morning for instance, then schedule the most crucial tasks like client meetings, long range planning or brainstorming. This way, you will be able to complete the most important tasks in good time, saving yourself extra time for other activities.

5. The power of saying NO

Saying NO will help you avoid having to crash your schedule to maintain deadlines. It means keeping you on course to avoiding scope creep. Look all the things that give your life a meaning. Ensure that you devote some time to what is very important.

Time management tools are great assets and most are free to use. Google Keep is my personal favorite because it’s easy to use and extremely simple. There are thousands of apps and experimenting with a few can be annoying at first but when you find a good one time management flows.

Think about what you can achieve this day, this week, this month and even as far as a year to make movement towards reaching your goals. In order to be more focused, write down your priorities and keep the list with you. Be selective as well – avoid making everything a priority.
